Privacy & Data Use Policy

Data Collected by the Hosting Manager

We store your email address, hashed password, instance configuration preferences, and AI credit transaction records.

Data Stored in SAM Instances

Each instance stores aircraft records, maintenance logs, uploaded documents and images, and user accounts created within that instance. Each instance has its own isolated database and file storage.

Data Isolation

Instances are fully isolated — separate PostgreSQL databases, separate persistent storage volumes, separate Kubernetes namespaces. One instance cannot access another's data.

AI Feature Data Processing

When AI features are used (logbook import, oil analysis extraction), document images are sent to Anthropic's API for processing. Per Anthropic's API data policy, API inputs and outputs are not used to train models. Users who configure their own API keys (BYOK) are subject to their own Anthropic account terms.

Backups

Instance data is backed up daily to operator-managed storage with off-site replication. Backups are retained for 30 days.

No Data Sharing

User data is not sold, shared with, or disclosed to third parties, except as required by law.

Data Deletion

You can delete your account and all associated instances at any time. Deletion includes a 7-day grace period during which data can be recovered. After the grace period, all instance data (database, files, backups) is permanently destroyed.

Service Level

This is a free, community service provided without guarantees of availability, performance, or data durability. While reasonable efforts are made to maintain the service and protect data, no SLA is provided. Users are encouraged to maintain their own backups via SAM's built-in export feature.
